WIN System (“we,” “our,” “us”) builds software that records and analyzes audio and screenshots on your device to help surface what’s important now. This policy explains what we collect, how we use it, and your choices. Questions? Email [email protected].
What this app does
- Records system audio and/or microphone audio when you turn it on.
- Optionally captures periodic screenshots for context (you can turn this off).
- Performs on-device transcription/analysis; you may optionally connect a third-party AI (e.g., Groq) using your own API key.
We show a clear in-app indicator when recording or capturing screenshots, and you can pause/stop at any time.
What we collect
From the website and licensing service
- Account data: email and password (hashed).
- Licensing data: license key, machine ID (for seat binding), status (trial/active), seat count, last check time.
- Email delivery: if we send you emails (e.g., trial/license keys), your email is processed by Brevo (our email provider).
- Payments: if you buy on our site, checkout is handled by Stripe. We never see your full card details; Stripe processes payment data directly.
From the app (local by default)
- Audio streams and screenshots: processed on your device for transcription/analysis.
- We do not upload or store audio/screenshot content on our servers unless you explicitly enable a cloud provider.
Optional third-party AI (only if you connect it)
If you enter a Groq (or other) API key, the app may send transcripts and/or screenshots to that provider directly from your device using your key. We do not proxy these requests and do not receive this content.
How we use data
- Provide the service: licensing, seat enforcement, support, and billing.
- Communications: send trial keys, license emails, and important service notices.
- Security & abuse prevention: detect fraud or license misuse.
- Compliance: tax/financial record-keeping for purchases via Stripe.
Where data is processed / shared
- Stripe (billing & subscriptions) — payment processing and receipts.
- Brevo (email) — sending trial/license emails and support messages.
- Groq or other AI (optional, only if you connect your key) — analysis of user content you choose to send.
- Hosting (our licensing API & website) — stores account/licensing records.
We share only what’s necessary to provide the service. We do not sell personal data.
Retention
- Licensing & account records: kept while your account or subscription is active, and as required for legal/financial obligations.
- Audio/screenshot content: not stored on our servers. If you connect a third-party AI, their retention is governed by their policy.
- Logs: minimal operational logs, typically rotated within ~30 days.
Your choices & controls
- Consent & toggles: you can enable/disable audio recording and screenshot capture at any time in the app.
- Third-party AI: do not enter a Groq/API key if you don’t want content sent to that provider. You can remove the key at any time.
- Access / delete: email [email protected] to request export or deletion of your account/licensing data (subject to legal retention).
- Uninstall: uninstalling the app removes local app data (unless you chose a custom data directory).
Security
We use TLS for data in transit and industry-standard practices to protect account and licensing data. No method is 100% secure; please keep your device and API keys safe.
Children
Our services are not directed to children under 13 (or the age required by local law). Do not use the app if you are under the applicable age.
International users
Data may be processed in the United States or other countries where our providers operate. We implement safeguards appropriate to the nature of the data.
Changes to this policy
We’ll update this page if our practices change. We’ll notify you in-app or by email for material updates.
